Pay: $24.00 - $27.00 per hour
Schedule: Monday-Friday 8:00a-4:30p, occasional overtime

About the Position
The Production Office Manager is responsible for the day-to-day administrative tasks in support of the production department including finances, space management, HR activities, and logistics. The Production Office Manager works closely with other members of the Production Management team in the oversight and management of all La Jolla Playhouse productions and events and works collaboratively with members of the production and other administrative departments.
Responsibilities
- Payroll review and submission for all IATSE and non-IATSE production employees.
- Human Resource support for the Production Department including job postings, onboarding, parking coordination, IATSE labor calls, show program listings, key distributions, employee safety documentation, and employee relations for all production employees.
- Track and facilitate the reconciliation of scenery material inventory.
- Create and maintain Production Linear Calendar and Space Reservation Google Calendar.
- Manage all rehearsal and venue space requests and rehearsal related equipment and supplies.
- Coordinate Production vehicles including rental, maintenance & upkeep.
- Manage Production Management department logistics such as vendor relationships, trucking, freight shipping, and storage.
- Finance department coordination including organizing production Credit Cards and coding, processing production invoices and payments, distributing reports, processing production contacts and union payments, and assist in tracking production labor, maintenance, and safety expenses.
- Cross-train with Assistant Production Manager for show-related support including Production Calendar, Important Dates, Contact Sheet, Production Meeting Management & Notes and Preview tickets.
- Operations and IT department coordination including production employees e-mail addresses and website changes.
- Support Resident Stage Manager in the ordering and restocking of SM supplies.
- Serve as production department liaison to other departments of the theatre as required.
- Other duties as assigned.
Qualifications
- 2 plus years of professional experience in Office Management.
- Works well under pressure and time constraints, maintaining a calm demeanor in the face of new and unexpected challenges.
- Strong critical thinking, attention to detail, problem solving, organizational, and interpersonal skills; Business and accounting skills a plus.
- Detailed knowledge and experience using Microsoft Office programs including Word, Excel, Power-Point and Outlook; Knowledge of database and inventory software a plus.
- Have a good sense of humor and a positive attitude.
- Ability to effectively communicate with creative teams, Stage Management, and Playhouse Staff.
- Demonstrated success in time and personnel management.
- Ability to coordinate multiple projects at once and to work in a fast-paced environment.
- Access to reliable transportation.
